 PERM ROLES 

Payroll Assistant

Potential Contract Dates: ASAP.

Location: London

Core Responsibilities:

  • Responsible for processing monthly payroll for Head office and Freelance staff

  • Collect and input all required new starter documentation such as P45, HMRC New Starter Checklist, bank details etc.

  • Manage all employee data input into our Payroll platform and ensure reporting data is correct e.g. department

  • Ensure all fixed and variable payroll elements are accurate each month and fully checked before processing payroll

  • Liaise with relevant departments on any monthly deductions required for payroll (i.e. Credit Card expenses, Salary sacrifice etc.)

  • Freelance Payroll - Send out payroll sheets to production, track progress, review sheets and ensure all contracted employees are included

  • Action all necessary work in relation to Salary/Rates, Pensions, Statutory Sick Pay, Statutory Maternity Pay, Statutory Paternity Pay, Holiday pay, general absence etc.

  • Liaising with the Moore pay to ensure all information is submitted and accurate for payroll, dealing with and resolving any questions from the payroll provider

  • Perform regular checks on payroll reports as and when they come through.

  • Track Company training expenditure and calculate training bonuses

  • Track employee benefits and complete P11Ds for partners/CEO

  • Provide necessary payroll data for yearly audits

  • Calculate and track all employee cycle scheme deductions

  • Track SMP/SPP payments

  • Send pension reports and new employee information to our pension managers, Vintage.

HR Administrator

Potential Contract Dates: ASAP

Location: London

Core Responsibilities:

Recruitment

  • Posting Freelance and Perm Job Vacancies on all relevant recruitment websites:

MAMA Youth, TriForce, LinkedIn, Talent Manager, Fulwell Jobs Page, GrapeVine, Diversity Websites. 

  • Working with our external recruiters for certain roles 

External recruiters include; May & Stephens, Harmonic, Talented People, Sauce Recruitment etc.

  • Head Office Vacancies - Ensure hiring managers complete the vacancy approval form for any HO positions.

  • Shortlisting candidates for HO and freelance vacancies on the ATS. 

  • Calling potential candidates to confirm availability for interviews and scheduling interviews for hiring managers.

  • Issuing all relevant email correspondence - Interview confirmations, Interview Reminders, Rejection Emails, holding emails etc. 

  • GDPR Compliance - Obtaining consent to keep personal details on PeopleHR (audit check)

  • Completing Reference Checks where necessary 

  • Update Live Recruitment Spreadsheet

  • Organising Talent Pool – Keeping in contact with potential candidates

  • ATS - Ensure all prospective candidates receive our recruitment privacy notice and are deleted from our database 

Onboarding & Off-boarding 

  • Organising onboarding (induction) schedule - ensuring new starters meet with key staff during the first 90 days.

  • Induction/training - 30/45 min training. Covering PeopleHR, key policies in Fulwell handbook, office tour and introductions to key members of staff.

  • Administer the probation period - sending reminder emails to managers, sending probation letters to staff (successful/unsuccessful)

  • Issuing termination letters and scheduling exit interviews.

  • Completing leaver administration on HR platform PeopleHR.

​PeopleHR

  • Ensure all PeopleHR documents and templates are up to date - i.e. Recruitment email templates, Contract templates, Termination Letter Templates, Probation Templates, etc. 

  • Updating Automated Ripple Processes - Ensure automated email notifications from PeopleHR are accurate, up to date and notify the correct staff members.

Reporting

  • Regularly providing reporting queries from PeopleHR (i.e. Holiday/ TOIL Reports to line managers, Sickness Reports etc.)

Projects

Diversity & Inclusion

  • Monitoring/ Reporting D&I data for perm/freelance/crew.

    • Produce and share D&I forms for every production

    • Supporting Production teams to complete D&I forms for each project

    • Producing weekly emails for UK productions to update them on their D&I stats

Other

  • Ensure HR Shared folder is up to date

  • Participate in, collaborate on and/or assist with ad-hoc HR projects and initiatives as required

Edit Assistant

Potential Contract Dates: ASAP.

Location: London

Core Responsibilities:

  • Prepare and support our edit suites

  • Execute standard associated operations; back-up/ingest/media management/syncing/grouping/exports etc…

  • Ensure workflow and pipeline procedures are being followed according to documentation

  • Basic troubleshooting of hardware and software issues working closely with our Post Tech team

  • Working within a close-knit team on the offline floor reporting directly to the Offline Services Manager


Skills and Experience:

  • ​1-2 years experience within an Avid based post production or editing facility

  • ​Proven track record supporting suites and troubleshooting effectively and efficiently

  • ​First class knowledge of file formats, compression and conversion

  • ​Long form/short form/scripted and non-scripted experience

  • ​Able to deal with client queries quickly and efficiently

  • ​Good knowledge of broadcast specs and up to date with post production working practices

  • ​Good syncing and grouping experience

  • ​Good understanding of post production workflows

  • ​Evidence of continuous technical progression in the role you’ve held to date

  • ​Excels at working under pressure

  • ​Strong desire to learn and progress

  • ​Excellent attention to detail at all times

  • ​Strong client facing experience

  • ​Calm and methodical approach

  • ​Fast learner

  • ​Adaptable

  • ​Team player

Desirable:

  • ​Working knowledge of Resolve

  • ​Working understanding of colour pipeline management

Production Coordinator

Potential Start Date: 22nd August 2022

Location: London

Core Responsibilities:

  • Setting up and devising Call Sheets

  • Supporting the PM with production paperwork - booking travel, crew, VISAs

  • Supporting the PM with Post Production paperwork, including contracts, raising POs and invoices

  • Knowledge of PMI would be advantageous

  • Helping with post production schedules so knowledge of post production would be good

  • Working with predominantly UK team but shooting in the US so may have to work across time zones when booking and setting up shoots.

Skills and Experience:

  • Attention to detail

  • Good communication is key as will be liaising with lots of different parties

  • Knowledge of archival shows would be good

  • Knowledge of post production workflows would be good

Production Secretary

Potential Start Date: 22nd August 2022

Location: London

Core Responsibilities:

  • Supporting the PM and PE in setting up and maintaining production systems. 

  • Supporting the preparation and distribution of schedules, travel documents and call-sheets.

  • Assist with booking travel and accommodation. 

  • Supporting the line producer with the running of the edits and post production paperwork. 

  • Liaising with the crew.

  • Sourcing items such as props, ordering stationery supplies

  • Logging all archive, material and music usage

  • Maintaining paperwork including talent release forms

Skills and Experience:

  • Attention to detail

  • Good communication is key as will be liaising with lots of different parties

  • Ability to work in a fast paced environment

  • Excellent communication skills
